THE ROLE:
We are seeking a highly organized and proactive Team Coordinator to support our fast-paced Brand and Marketing team. In this role, you will be responsible for managing team workflows, coordinating schedules, and ensuring seamless communication between departments. You will play a key role in keeping projects on track and supporting day-to-day operations within our creative, integrated marketing, communications, and affiliate.
RESPONSIBILITIES:
Project Management
- Contribute to ideation of strategic and creative concepts for co-branded content (RFPs)
- Support creative, comprehensive, and concise pitch decks and proposals for co-branded content ideas
- Organize and maintain confidential files, records, and databases
- Assist in project coordination, ensuring deadlines and deliverables are met
- Plan and execute department events, meetings, and off-site gatherings
- Support budgeting and expense tracking for executive-related activities
Team & Project Coordination
- Organize and maintain project timelines, schedules, and deliverables
- Act as the point of contact between teams, ensuring smooth communication and workflow.
- Assist in managing editorial calendars, production schedules, and content deadlines.
Communication & Collaboration
- Facilitate collaboration between editorial, creative, marketing, and production teams.
- Communicate updates on projects, deadlines, and priorities to stakeholders.
- Coordinate with external partners, freelancers, and vendors as needed.
- Assist in preparing communications, newsletters, and announcements for the executive team
Budget Management
- Track team expenses, invoices, and budgets as needed.
- Receive and QC RFPs, IOs, and client assets
Process Improvement & Efficiency
- Identify opportunities to improve team workflows and implement organizational best practices.
- Support leadership with reporting, performance tracking, and operational insights.
Administrative & Operational Support
- Manage executives’ calendars, schedule meetings, and coordinate travel arrangements.
- Prepare reports, presentations, and documents for internal and external meetings.
- Handle correspondence, emails, T&E reports and phone calls on behalf of executives.
- Assist with onboarding new team members by coordinating resources and documentation.
QUALIFICATIONS:
- 2+ years of experience in team coordination, project management, or administrative support (preferably in a media, publishing, or entertainment environment).
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in project management tools (Asana, Trello, Monday.com, or similar).
- Ability to work in a fast-paced environment and manage multiple priorities.
- Familiarity with digital media, content production, or marketing processes is a plus.
- Demonstrated self-starter with the ability to handle many projects, prioritize work assignments, meet deadlines, and work independently in a fast-paced environment
